Build an assembly-level inventory

One property can contain assemblies for domestic water, irrigation, fire protection and process equipment. A portfolio list based only on street addresses will miss devices and produce incomplete budgets.

Track the manufacturer, model, serial number, size and exact location for each assembly. Add the municipal account or notice number where the program uses one.

Document access and shutdown constraints

Record keys, lockbox instructions, tenant contacts, alarm coordination, mechanical-room hours and systems that cannot be interrupted. These details prevent failed visits and shorten repeat scheduling.

Sensitive sites may require permits, escorts or advance notice to occupants. Put that requirement in the work order, not only in one employee's inbox.

Separate testing from repair authority

The annual test is a defined diagnostic and reporting scope. Repairs can vary from cleaning a component to replacing the assembly and may require approval, parts and a return visit.

Set a written approval threshold and an emergency contact. Ask for the failed readings and proposed correction before authorizing material work.

Reconcile the reporting trail

A test invoice is not the same as an accepted municipal submission. Store the report, portal confirmation, fee record, repair invoice and passing retest together.

At the end of each month, compare scheduled assemblies with completed and accepted records. Escalate anything marked failed, inaccessible, awaiting approval or rejected by the municipality.

Use a 12-month operating rhythm

Group work by due month and geography, but do not force every property into one date if the municipality has already assigned different deadlines. Start outreach early enough to solve access problems.
